An unsolicited email from an unknown foreign company competes with a high volume of speculative and fraudulent approaches, and it carries no signal of seriousness. Business across much of the continent runs on relationships and referral, so an introduction from a known party does more than a well-written message ever will.
Channels that produce real meetings
The routes that work reliably:
- Industry associations and sector bodies, which can introduce members directly
- Chambers of commerce, including bilateral chambers linking your country to the market
- Export and investment promotion agencies, whose mandate is exactly this
- Trade expos, where counterparties are present specifically to meet new partners
- A local representative or consultant with existing relationships in the sector
Qualify before you commit travel days
Travel days are your scarcest resource. Before scheduling, establish that a counterparty can meet your volume, quality and compliance requirements, and confirm they are genuinely interested rather than merely willing to take a meeting. A confirmed agenda with a specific purpose filters out the meetings that would waste a morning.
Confirm shortly before you fly
Re-confirm every appointment in the days immediately before departure, in writing, with time, location and attendees. Arrangements made weeks earlier drift. Getting a written confirmation also surfaces the meetings that were never firm, while you can still fill the slot.
Plan the day realistically
Allow generous travel time between appointments in major cities, and expect some flexibility in start times. Schedule the meetings that matter most earlier in the day and earlier in the trip, so a delay later does not cost you the appointment you most needed.
Follow up in writing, immediately
Send a written summary of what was agreed within a day or two, while recollection is fresh on both sides. This converts a good conversation into a shared record, and it is the step that most often separates a trip that produces deals from one that produces contacts.
